1 Data Manager
1. Data Manager of the company Společnost Společně, o.p.s., with its registered office at Mendlovo nám. 907/1a, 603 00 Brno, Czech Republic, registered in the register of public benefit corporations maintained by the Regional Court in Brno, section O, file 266, ID No.: 269 76 307 (hereinafter referred to as “the Company” or “the Data Manager”) processes personal data through the website at https://www.spolecne.org (hereinafter referred to as “the Website”) as the Data Manager, as further specified in Article 4 of this notice (hereinafter referred to as “the Information”).
2 Cookies and Types Used by the Company
2.1 When visiting and using the Website, cookies are activated on the user’s device. Cookies are small files that store and receive identifiers and other information about computers, phones, and other devices from which the user accesses the Website, helping the Company to provide, protect, and improve the services offered.
2.2 Based on the source and control over the cookies, they are distinguished as
follows:
2.2.1 First-party cookies are created by the Website that is being visited. The
Website is listed in the browser’s address bar, and upon visiting the Website, these
cookies are controlled and managed by the Data Manager.
2.2.2 Third-party cookies are created by other websites. These websites have
some content on the Website, such as ads or images, and these cookies are not
controlled by the Data Manager.
2.3 The Company uses the following cookies on the Website, depending on their
function and purpose:
2.3.1 Analytical cookies that serve to improve the functioning of the Website. They
allow the Company to recognize and determine the number of visitors and track how
visitors use the Website. They help the Company improve how the Website works,
for example, by enabling users to easily find what they are looking for. Through these
tools, the Company analyses and regularly improves the functionality of the Website.
The obtained statistics may be used by the Company to enhance and streamline the
user experience related to the use of the Website. These cookies will only be used
based on the user’s consent.

3 Browser Settings, Cookie Settings, and the Option to Delete Them
3.1 When visiting the Website, a cookie bar will appear with options to configure
optional cookies and accept or reject them. The user of the Website can choose their
preferences via the cookie bar and confirm their selection. The users can change
their selection at any time.
3.2 The user of the Website can also disable cookies by changing the settings in
their browser to reject the use of all or selected cookies. However, if the user
disables all cookies (including essential cookies) through their browser settings, they
may not be able to access the Website, and some functionality may be limited.
Disabling cookies will not remove cookies from the browser; they must be manually
deleted in the browser settings.
3.3 In the Help section of most used browsers, there is guidance on how to prevent
the browser from accepting new cookies, how to receive notifications when cookies
are accepted, and how to disable these files altogether. Similarly, it is possible to
deactivate or completely delete similar data used by the browser, such as flash
cookies, by changing the settings of the relevant browser plugin or by visiting the
website of the plugin’s manufacturer.
3.4 Cookies enable the user to use some basic features of the Website, so the
Administrator recommends keeping them enabled.

4 Personal Data Processed by the Administrator
4.1 Through the Website, the Company processes the following categories of personal data:
4.1.1 Identification and contact details of the data subject, i.e., (academic) title, first name, surname, email address, and phone number.
4.1.2 Information about the user’s device, particularly data about the IP address, and data stored via cookies if their storage is allowed.
4.1.3 Information from contact forms
(all personal data according to sections 4.1.1 to 4.1.3 are referred to as “Data.”)
5 Purpose and Legal Basis for Processing the Data
5.1 Through the Website, the Company processes personal data for the following purposes and based on the legal grounds listed below:
5.1.1 Website Traffic Evaluation, Statistics Creation and Records, and Optimization
If the user consents, the Company processes information about their device and usage of the Website for the purpose of evaluating traffic, creating statistics and records, and optimizing the Website, based on consent given by the user via the cookie bar. This consent can be withdrawn by the user at any time using the Cookie Settings button in the footer of the Website.
This allows the Company to analyse the use of the Website and optimize it for better performance and ease of use.
5.1.2 Handling Requests and Inquiries
The Company processes identification and contact details of the data subject and data about the use of the Website based on its legitimate interest in handling the request or inquiry submitted by the data subject, usually through a contact form.
If the request or inquiry concerns the conclusion of a contract, the Company processes the above data based on steps leading to the conclusion of such a contract.
6 Data Retention Period
6.1 The Company retains (processes) Data for up to 12 months, unless otherwise specified.
6.2 The Company retains (processes) personal data and information obtained through cookies until the earliest of the following occurs:
6.2.1 Expiration of the cookies.
6.2.2 Deletion of cookies from the user’s device.
6.2.3 Withdrawal of the user’s consent to the use of cookies and processing of personal data obtained through cookies.
7. Processing and Transfer of Personal Data
7.1 The Company processes the Data as a manager, including determining the means of processing, and is responsible for ensuring the proper execution of the processing.
7.2 Data may be transferred to other parties acting as processors for the purposes described in Article 5, in accordance with applicable legal regulations, particularly service providers for tools used to create statistics and records.
7.3 Data may be transferred to other controllers if the Manager/Administrator is legally required to do so, particularly to courts and the police when exercising their legal powers.
7.4 In certain cases, personal data may be transferred to countries outside the European Economic Area. These countries may have different laws and standards regarding personal data protection. However, any such transfers will only take place based on standard contractual clauses issued by the European Commission, which the recipient in the third country is obligated to comply with, along with other measures.
8 Rights of the Data Subject
8.1 The rights of any person (hereinafter referred to as the “Data Subject“), including the user of the Website, regarding their personal data include:
8.1.1 Right of Access – The Data Subject has the right to know what personal data is processed by the Administrator, for what purpose, for how long, where the data is obtained, to whom the data is transferred, who processes the data besides the Administrator, and what other rights the Data Subject has regarding the processing of their personal data. This information is provided in the notice relating to the Data. More detailed information can be requested from the address specified in section 8.1 of the Notice. The Data Subject has the right to request the Administrator to confirm what personal data is being processed and whether the Administrator processes their personal data.
8.1.2 Right to Rectification – The Data Subject has the right to correct or complete their personal data if they find that the personal data processed by the Administrator is inaccurate or incomplete.
8.1.3 Right to Erasure – In certain cases, the Data Subject has the right to request the Administrator to delete their personal data. The Administrator will erase the data without undue delay if any of the following reasons apply:
The data is no longer needed for the purposes for which it was processed.
The Data Subject exercises their right to object to processing, and the Administrator finds that there are no overriding legitimate interests to continue processing. The processing of personal data by the Administrator is no longer in compliance with applicable legal regulations. This right does not apply if the processing is necessary for the fulfilment of a legal obligation, archiving purposes, or for the establishment, exercise, or defence of legal claims.
8.1.4 Right to Restriction of Processing – In certain cases, the Data Subject can request that their personal data not be processed, or to restrict its processing for a limited period. The Administrator must restrict processing when:
The Data Subject disputes the accuracy of the personal data (until agreement is reached on the accuracy). The data is processed unlawfully, but the Data Subject prefers to restrict its processing rather than have it erased. The personal data is no longer needed for processing purposes, but the Data Subject requires it for the establishment, exercise, or defence of legal claims.
The Data Subject objects to the processing, and the Administrator is evaluating whether the legitimate grounds override those of the Data Subject.
8.1.5 Right to Object to Processing – The Data Subject has the right to object to the processing of their personal data when the processing is based on legitimate interest. The Administrator must stop processing the personal data unless it has compelling legitimate grounds to continue.
8.1.6 Right to File a Complaint – The exercise of the rights mentioned above does not affect the Data Subject’s right to file a complaint with the Office for Personal Data Protection. This right can be exercised, especially if the Data Subject believes that their personal data is being processed unlawfully or in violation of applicable legal regulations.
9 How to Exercise the Rights of the Data Subject
9.1 The Data Subject can contact the Administrator in writing regarding any matters related to the processing of personal data. The address for correspondence is the Administrator’s registered address or the email address: info@spolecne.info.
9.2 The Administrator will address the Data Subject’s request without undue delay, but no later than within one month. In exceptional cases, particularly due to the complexity of the request, the Administrator may extend this period by an additional two months.
9.3 A complaint regarding the Administrator’s processing of personal data can be filed with the Office for Personal Data Protection at Pplk. Sochora 27, 170 00 Praha 7.
